Why Don’t My Systems Work Together?

Stop Retyping and Chasing Information.

Reduce duplicate entry, missing context, and slow handoffs between tools. Find the simplest way to move useful information without creating a new maintenance burden.

The problem

People are doing the work between the systems.

A request arrives in one tool, its details live in another, and someone downloads, uploads, searches, or reconciles a spreadsheet to complete the handoff. The customer waits while the context catches up.

Duplicate entry
The same facts are typed into several places, creating delays and inconsistent records.
Missing context
The next person gets a task without the background, attachments, or decision needed to finish it.
No clear source of truth
People search several systems for the same answer and reconcile conflicting versions by hand.
Integration / Workflow Friction Scan · Available by request

Connect one useful handoff, not everything to everything.

Start with the source, destination, frequency, information required, and person responsible. The scan produces a handoff map, observed failure points, and the smallest worthwhile improvement to test.

Agree the process first
Name the authoritative record, required fields, timing, and owner. A shared view or a clearer process may be sufficient.
Check existing connections
Consider a native integration or a supported import before a custom connector. A low-frequency transfer may reasonably stay manual.
Design for failure
Prevent duplicates, confirm receipt, surface missing information, and provide a way to retry or reconcile errors.
Include the operating burden
Weigh time and errors removed against setup, maintenance, access risk, subscriptions, and what happens when either tool changes.
The value test

Not every copy-and-paste step deserves an integration.

Authority determines risk. Give a connection only the information and actions it needs. Require approval before consequential changes, retain an action record, and make recovery possible. A working connector requires separately agreed implementation and testing.

A useful starting point

Use the existing briefing to distinguish reading information from changing records, sending messages, or spending money.
