Is This Tech Worth the Money?

Make Technology Earn Its Keep.

Weigh the actual improvement against setup, training, subscriptions, risk, and ongoing work. Decide whether a tool earns its place before spending more on it.

The problem

The subscription is only part of the price.

A purchase, renewal, replacement, integration, or AI initiative should solve an identifiable problem. Its value depends on what changes in the work and whether people actually use it.

The improvement
Time saved, errors reduced, capacity created, revenue created or protected, and a better customer experience. Choose the result that matters for this decision.
The full burden
Setup, training, migration, review, subscriptions, usage charges, maintenance, and the person who owns the system after launch.
The risk and exit
Information access, operational dependence, lock-in, data portability, and the work of switching or stopping. A lower subscription price can still mean a higher total cost.
Technology Value Reality Check · Available by request

Make a decision you can explain.

Bring the proposed change or renewal, current costs, and examples of the work. We agree the decision to examine and compare it with keeping or improving what you have.

  1. Establish a baseline

Record current frequency, effort, mistakes, or delays. Use observed facts where possible and mark estimates clearly.

  2. Compare the whole cost

Include implementation, adoption, review, maintenance, and exit. Distinguish time freed for useful work from cash actually saved.

  3. Test the uncertain part

Run a limited trial where appropriate, with an owner, success measure, and a stop or review date.

  4. Decide what earns its place

Take away a recommendation to keep, change, test, defer, or stop, with evidence, assumptions, and the next decision point.

A question worth keeping

If we turn this off six months from now, what measurable improvement disappears?

Some benefits concern capacity, trust, or reduced risk rather than immediate revenue. Use ranges and explicit assumptions where measurement is uncertain. A precise-looking ROI figure does not make the decision more reliable.

A useful starting point

Before replacing software, understand what you use and what depends on it.
